This Privacy Policy explains how Aiming Change for Tomorrow (ACT) ("we", "us", or "our") collects, uses, and protects information when you use the ACT Portal Mobile application (the "App"). The App is an internal workforce tool for ACT staff to record attendance, manage tasks, apply for leave, and lodge grievances.

Account information
- Your name, email address, employee role, and assigned work location, used to sign you in and personalize your experience.
Attendance & location
- When you record attendance, the App may access your device's approximate or precise location to confirm you are at your assigned work site. Location is used only at the moment of an attendance action and is not tracked in the background.
Work data you submit
- Tasks, leave requests (dates, leave type, reason, substitute), and grievance details (complaint description, optional contact information, province/district) that you enter in the App.
Technical data
- Standard request information (e.g., authentication token, timestamps) needed to operate the service securely.
2. How We Use Information
- To authenticate you and provide the App's features (attendance, tasks, leave, grievances).
- To verify attendance against your assigned location.
- To route leave and grievance requests to the appropriate managers or HR.
- To maintain the security and integrity of the service.
3. Data Sharing
We do not sell your personal data. Information is accessible only to authorized ACT personnel (such as your line manager, HR, and administrators) on a need-to-know basis to perform the functions above. We do not share data with third-party advertisers.
4. Data Storage & Security
Data is transmitted over encrypted HTTPS connections and stored on ACT-controlled servers. We apply reasonable administrative and technical safeguards to protect your information against unauthorized access.
5. Data Retention
We retain attendance, task, leave, and grievance records for as long as necessary to fulfil organizational, legal, and HR requirements, after which they are deleted or anonymized.

You may request access to, correction of, or deletion of your personal data by contacting us using the details below, subject to applicable organizational and legal obligations.
7. Permissions Used
INTERNET— to communicate with ACT servers.ACCESS_FINE_LOCATION/ACCESS_COARSE_LOCATION— to confirm your location when recording attendance.
8. Children's Privacy
The App is intended for ACT employees and is not directed to children under 13.
9. Changes to This Policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
